WebMail - Automatic signature

This article is about setting up automatic signatures for emails sent from the WebMail ⧉ web-based email client. The automatic signature settings in WebMail do not affect the automatic signing of messages in other mail clients.

The screenshots are taken in the new Elastic template. If you are using the older Larry template, follow the text instructions or change the template at least temporarily according to the manual.

Basic automatic signature

Follow these steps to set up an automatic signature:

  1. Log in to WebMail ⧉.
  2. Click Settings.
  3. Select Profiles from the menu.
  4. In the Settings Profiles column, select the identity for which you want to set up an automatic signature.
  5. In the Signature section, fill in the text of the signature.
  6. Save your changes by clicking Save.

Next, verify that the client has the correct signature insertion settings:

  1. In the menu, click on Properties and then Message Writing.
  2. In Signature Settings , make sure Automatically add signature: always is selected. Alternatively, select to add a signature according to your own preference.
  3. Confirm the changes by clicking Save.

All sent messages will now contain your (text) signature.


Formatted signature (HTML)

You can format the message signature using HTML. This setting allows you to set the font and colours of the signature, or add images and other custom code.

You can only attach HTML signatures to HTML messages. First, set all messages to HTML format by following these steps:

  1. Access Settings.
  2. In the menu, click on Properties and then Message Writing.
  3. In the Main Settings , change the Create HTML messages option to Always.
  4. Confirm the changes by clicking Save.

Next, mark the formatting of the signature as HTML. Add the signature as described in the first part of the Basic AutoSignature chapter. click the image icon in the upper left of the box to open the text editor.

You can now format the signature directly in the signature field.

You can upload your own image up to 64 kB in the signature by clicking on the icon.

Pictures in the signature

When inserting an image into an HTML signature via HTML/text editor, you may encounter a maximum size of 64 kB. If you need to insert a larger image into your signature, follow these steps:

  1. Place the image on a Web Hosting or other HTTPS-enabled service.
  2. Kliknutím na ikonu < > v editoru podpisu otevřete pole pro přidání vlastního kódu.
  3. Insert the HTML of the image according to the template (replace the content of the brackets with your own values):

If the image is not available at that address, it will not appear in your emails.


Common problems

Common problems with automatic signing include:

Signature is not formatted

Problem: I have set up a formatted signature, but it appears unformatted to the recipient.

Cause: The most common cause is disabling global message formatting. HTML may also be disabled on the recipient's client.

Solution: Make sure that in addition to formatting the signature itself, you have enabled HTML message generation as described in the first part of the Formatted Signature (HTML) chapter.

Signature does not work in another client

Problem: Set signature does not work when sending messages from another email client.

Cause: WebMail settings in this case only apply to messages sent from WebMail.

Solution: Set the signature in the client according to its manual.
