On this pageIncreasing email mailbox spaceReducing the capacity of email mailboxesCommon problemsFrequently Asked Questions

This article covers increasing the email capacity of a hosting service. If you need to check the current size, follow the guide Email – Checking Mailbox Usage.

In this article, you will find:

If you need to increase the size of mailboxes on an email service, first decide what final capacity you require:

  • 10 - 500 GB: For relatively low capacities, we recommend the standard increase described below.
  • 1 - 5 TB: For high capacities, we recommend the Business plan, which also offers other benefits, such as higher limits for sending emails. You can find more information on the Mailhosting product page ⧉.

To perform a standard increase of email mailbox space, follow these steps:

  1. Log in to the Customer Administration ⧉.
  2. In the top menu, select Hosting services  Mailhosting, Webhosting, WebSite, or WMS.
  3. Select from the list the specific service whose mailboxes you want to increase.
  4. In the left menu, click Add-on services.
  5. In the overview of add-on services, click the green button  (for the first increase), or click the magnifying glass icon next to the item Email Space Increase 5 GB.
  6. Select or change the number of activations of the add-on service. Each activation adds the stated amount of space to the total email space.
  7. Click the Activate button, or Change.

The settings take effect within 30 minutes.

Business plan for email

When you activate the Business plan, the system automatically deactivates the existing extension Email Space Increase 5 GB. It will try to deduct funds previously paid for this service from the first payment for the plan upgrade, until they are used up. From the next billing period, the price is calculated normally.

Activating the Business plan differs for Webhosting, Hosting WP and Mailhosting:

  • Webhosting and Hosting WP: Follow the guide above, but instead of the service Email Space Increase 5 GB select Upgrade of Email Services to Business Variant. Authorize the change via SMS.
  • Mailhosting: Change the service plan according to the following guide:
  1. Log in to the Customer Administration ⧉.
  2. In the top menu, select Hosting services  Mailhosting or Hosting WP.
  3. Select from the list the specific service whose mailboxes you want to increase.
  4. In the left menu, click Change variant.
  5. Use the Select select plan Business.
  6. Confirm the change with the Change Variant.
  7. Authorize the change via SMS.

SMS authorization of the email plan change

If your customer account does not have a verified phone number set, enter and verify it in the Customer Administration ⧉.

To protect customer services against misuse, the system requires authorization with an SMS code to set the Business plan. After requesting the variant change, follow these steps:

  1. Check the phone number of the customer account owner (the page will show you a hint).
  2. Within 10 minutes of requesting the change, enter the code from the SMS into the field.
  3. Click the Confirm and Execute.

The settings take effect within 30 minutes.

The system generates a payment request and sends it within 1 business day.

Reducing the capacity of email mailboxes

The system allows reducing the capacity of an email mailbox only if the volume of emails on the server does not exceed the new capacity. If the Email size value in the system does not match reality, contact Support via the form ⧉ and request a recalculation.

If you want to reduce the increase or cancel it completely, open the add-on service management interface in the same way as when activating the increase. Then, in the add-on service settings:

  • reduce the number of activations by clicking the link change in the table Add-on Service Information and select the new number of activations of the add-on service, or
  • deactivate the add-on service by clicking the Deactivate button and confirming the deactivation.

Common problems

Common problems with increasing and reducing mailbox capacity include:

Incorrect mailbox capacity value

Problem: After the capacity increase, the administration still shows the original (incorrect) value.

Cause: An increase in mailbox capacity usually takes effect within half an hour. The administration also shows two different values: the mailbox capacity (the maximum volume of emails) and the usage (the current volume of emails).

Solution: After making the setting, wait for it to take effect. Also make sure you are checking the capacity in the right place – you will find it in the limits according to the guide Email – Domain, Permissions, Limits.

Individual mailboxes remain full

Problem: After the capacity increase, some (or all) mailboxes are still 100% full.

Cause: Capacity can also be set for individual mailboxes.

Solution: Check the settings of the individual mailboxes according to the guide Email – Mailboxes.

The capacity cannot be reduced

Problem: When you try to reduce the capacity, an error message appears saying that the mailboxes contain more emails than the new capacity allows.

Cause: If the mailboxes were cleaned up recently, the system probably has not yet recalculated the volume of emails.

Solution: Contact Support via the form and ask them to check and, if necessary, manually recalculate the capacity in the system.
